Travelport Technology Limited, and its operating groups, subsidiaries and affiliates (the “Travelport Group”), (“Travelport” or “we”, “our” or “us”) are committed to protecting the privacy and security of personal information and/or personal data (“Personal Data”) of candidates. Travelport collects, processes, and transfers personal data of candidates in connection with its recruitment activities.

Personal Data

Travelport has a diverse mix of employees. We value this diversity and continuously encourage the very best candidates to apply to us.

This Notice applies to Personal Data and to the management of that Personal Data in any form – whether oral, electronic or written.

While this Notice is intended to describe our Personal Data processing activities globally, those processing activities may be more limited in some jurisdictions based on the restrictions of their laws or local practice. For example, the laws of a particular country may limit the types of Personal Data we can collect or the manner in which we process that Personal Data. In those instances, we adjust our internal policies (including those set out in this Notice) and practices to reflect the requirements of local law.

Personal Data we collect, store and use

We generally collect Personal Data directly from you, and sometimes from others (such as from our employees under the internal referral process or from third party recruiters etc.) and this includes:

  • Personal Data you provided to us in your curriculum vitae and covering letter or in other application documents.
  • Personal Data you provided on our application form, including name, title, home address, personal telephone number, personal email address, date of birth, gender, photograph, employment history, qualifications, memberships of professional organizations, language capabilities, training courses attended, results of psychometric testing (if applicable)
  • Personal Data you provide to us during a digital or face-to-face interview, including your image and voice via audio-video recording of interviews, and/or CCTV footage (where you have visited one of our offices for interview), where applicable.
  • Other Personal Data that we might collect and process in the recruitment process, such as sex, age, gender, nationality, race, ethnicity, veteran status or disability, as permitted by applicable laws.
  • The results of credit and criminal background checks, where permitted by law and dependent on the country, role or job function, in case your job application is successful.
  • Information on whether you or a family member are a government official or politically exposed person to ensure Travelport’s compliance with anti-bribery and corruption laws it is subject to and to manage any potential conflicts of interest.

We collect and may disclose statistical Personal Data gathered as a whole (e.g., total number of candidates and candidate origin) for internal reporting purposes, but this information is not considered Personal data under applicable privacy laws. We do not knowingly solicit Personal Data from children and we do not knowingly market our services to children.

If you opt to provide certain Personal Data to us for the purposes of diversity monitoring and reporting like your date of birth, gender identification or sex, disability status, veteran status, marital status, or nationality, this Personal Data will be used for diversity monitoring and reporting purposes and will not be used in the selection process. We may also collect these types of Personal Data for other purposes as set out below.

We are subject to certain governmental recordkeeping and reporting requirements in the US. In order to comply with these laws, we invite candidates to voluntarily self-identify their race, ethnicity, veteran and disability status. Submission of this information is voluntary and refusal to provide it will not subject you to any adverse treatment. When reported, the data will be summarized and will not identify any specific individual.

Health and safety requirements, assessments regarding the need for reasonable adjustments or reasonable job accommodations, or our rights and obligations in the field of employment law in so far as authorized by law may call for us to request sensitive personal data (for example, health or religious data).

How we may use your Personal Data

Travelport uses your Personal Data for legitimate business interests, with your consent (where applicable), for purposes of employment law and for compliance with legal obligations to which we may be subject. We will use the Personal Data we collect about you to:

  • Assess your skills, qualifications, and suitability for the role.
  • Process your application.
  • Carry out background and reference checks, where applicable.
  • Communicate with you about the recruitment process.
  • Keep records related to our hiring processes.
  • Facilitate accommodation requests, where applicable.
  • Promote and maintain a culture of diversity, equity and inclusion in the recruitment process.
  • Ensure security (of our systems, as well as of our premises).
  • Comply with legal or regulatory requirements including anti-bribery and corruption laws.
  • Manage any potential conflicts of interest.
  • Travelport also uses Personal Data for historical, scientific, research and statistical purposes with regard to monitoring and better understanding our recruitment activities.

Who we share your Personal Data with

  • Travelport and the Travelport Group, including members of the relevant (international) HR and recruitment teams. Travelport has implemented appropriate safeguards for the transfer of your Personal Data to the US and other countries outside of the EEA or the UK which are not deemed adequate by the EU (through intra-group Standard contractual clauses).
  • Third party providers such as pre-employment screening providers or recruitment agencies.
  • Third party providers of online HR tools (such as providers of online tools to assess skills, analyze performance and for personality/psychological indicator testing).

To the extent that third party providers are located outside of the EEA or the UK in countries which are not deemed by the EU or the UK as providing adequate protection, Travelport will implement appropriate safeguards for the transfer of your Personal Data to these countries including through Standard contractual clauses.

We only permit third-parties to process your Personal Data for specified purposes and in accordance with our instructions.

If you are selected for interview you may be asked to complete a self-recorded video interview via a third-party provider. In this case we will share your details, including your CV if submitted, with the provider for this purpose.

Data Privacy Framework

Travelport, LP (“Travelport”) complies with the EU-U.S. Data Privacy Framework (EU-U.S. DPF), the UK Extension to the EU-U.S. DPF, and the Swiss-U.S. Data Privacy Framework (Swiss-U.S. DPF) as set forth by the U.S. Department of Commerce. Travelport has certified to the U.S. Department of Commerce that it adheres to the EU-U.S. Data Privacy Framework Principles (EU-U.S. DPF Principles) with regard to the processing of personal information received from the European Union in reliance on the EU-U.S. DPF and from the United Kingdom (and Gibraltar) in reliance on the UK Extension to the EU-U.S. DPF. Travelport has also certified to the U.S. Department of Commerce that it adheres to the Swiss-U.S. Data Privacy Framework Principles (Swiss-U.S. DPF Principles) with regard to the processing of personal information received from Switzerland in reliance on the Swiss-U.S. DPF. If there is any conflict between the terms in this Notice and the EU-U.S. DPF Principles and/or the Swiss-U.S. DPF Principles, the Principles shall govern. In compliance with the EU-U.S. DPF and the UK Extension to the EU-U.S. DPF and the Swiss-U.S. DPF, Travelport commits to cooperate and comply respectively with the advice of the panel established by the EU data protection authorities (DPAs) and the UK Information Commissioner’s Office (ICO) and the Swiss Federal Data Protection and Information Commissioner (FDPIC) with regard to unresolved complaints concerning our handling of human resources data received in reliance on the EU-U.S. DPF and the UK Extension to the EU-U.S. DPF and the Swiss-U.S. DPF in the context of our recruitment activities.

The Department of Transportation has jurisdiction over the Travelport’s compliance with the EU-U.S. DPF, the UK Extension to the EU-U.S. DPF, and/or the Swiss-U.S. DPF. Travelport complies with the DPF Principles for all onward transfers of personal information from the EU, UK, and Switzerland, including the onward transfer liability provisions.

Where we store your Personal Data

We have put in place appropriate security measures to prevent your Personal Data from being accidentally lost, used or accessed in an unauthorised way, altered or disclosed. In addition, we limit access to your Personal Data to those employees, agents, contractors and other third parties who have a business need-to-know. They will only process your Personal Data on our instructions.

Travelport has implemented appropriate safeguards for the transfer of your Personal Data to the US and other countries outside of the EEA or the UK which are not deemed adequate by the EU or by the UK through intra-group Standard contractual clauses.

How your Personal Data is secured and protected

We use appropriate technical and organizational measures necessary to ensure that your data is treated securely and in accordance with this privacy policy.

The transmission of Personal Data via the internet is not completely secure. Although we will do our best to protect your personal data, we cannot guarantee the security of your data transmitted to our site, and any transmission is at your own risk.

Once we have received your Personal Data, we will use strict procedures and security features to try to prevent unauthorized access.

Data retention

Travelport retains your Personal Data no longer than is necessary to comply with legal obligations and to fulfill legitimate business and compliance purposes. Accordingly, the exact time period may vary by jurisdiction and context, however, we generally try to retain the Personal Data of unsuccessful candidates for no longer than three years (if applying in the United States) or two years (for other locations worldwide), unless we are required to keep the Personal Data for a longer period under applicable statutory requirements. For successful candidates, the Personal Data will be kept and managed in the employee personnel file, in accordance with our Employee Privacy Notice.

Your privacy rights

As a data subject, if your Personal Data is processed by any member of the Travelport Group within the European Economic Area (EEA) or the UK, you have the following rights regarding your Personal Data, under certain circumstances:

  • Right to Access your Personal Data (commonly known as a “data subject access request”). This enables you to receive a copy of the Personal Data that we hold about you and to check that we are lawfully processing it;
  • Right to Rectification of your Personal Data, which enables you to request and obtain the rectification of any inaccurate or incomplete Personal Data that we hold about you;
  • Right to Erasure (Right to be Forgotten), which enables you to request us to delete or remove your Personal Data from our records;
  • Right to Portability of your Personal Data, which enables you to request the transfer of your Personal Data to another party in certain circumstances, when our processing of your Personal Data is based on your consent and the Personal Data is processed by automated means;
  • Right to Restrict Processing of your Personal Data, which enables you to ask us to suspend the processing of your Personal Data in certain circumstances, for example if you want us to establish the accuracy of your Personal Data, or the reason for processing it;
  • Right to Object to the processing of your Personal Data, where we are relying on a legitimate interest (or those of a third party) and there is something about your particular situation which makes you want to object to our processing of your Personal Data on this ground;
  • Right not to be subject to automated decision-making (including profiling), which means that Travelport cannot make decisions concerning you based solely on automated processing (using only technology, without any human intervention), including profiling, which produce legal effects concerning you or significantly affect you. We do not envisage that any recruitment decisions that will have a significant impact on you will be taken using solely automated means, however we will notify you in writing if this position changes.

The above rights are not absolute and are subject to certain exceptions under applicable privacy laws.

In the limited circumstances where you may have provided your consent to us, you have the right to withdraw your consent for that specific processing at any time. To withdraw your consent, please contact privacy@travelport.com. Once we have received notification that you have withdrawn your consent, we will no longer process your information for the purpose or purposes you originally agreed to, unless we have another legitimate basis for doing so in law.

Data subjects in other countries may have similar rights and Travelport will respond to data subject requests in line with local privacy laws.

Dispute resolution

If you experience an issue regarding the processing of your Personal Data according to this Careers Privacy Notice that cannot be resolved directly with Travelport, then you have a right to lodge a complaint with the relevant local Data Protection Authority, which will be the country in which you reside. In the UK this will be the Information Commissioner’s Office (ICO), further details can be found at https://ico.org.uk/.

Any changes we may make to our Careers Privacy Notice in the future will be posted on this page.
